All communications relating to Student Members must be conducted through the training centre.
At the beginning of the course, new Students should complete an ‘Application for Membership’ form. It is important that care is taken when completing the form as future Certificates awarded by ACP will show a Student’s name exactly as it appears on the application.
Students should hand their completed form to their training centre’s Examinations Officer, together with their ‘Registration’ and 1st year’s ‘Annual Membership Fee’ shown in ACP’s current ‘Fees List’.
Students should NOT send their forms or fees direct to ACP.
On receipt of one or more membership applications, ACP will provide each successful applicant with:
The above will be sent to the training centre for distribution to Students. Students should check their name as it appears on their acceptance letter and should immediately advise their centre’s Examinations Secretary of any errors that have occurred though our failure to decipher illegible handwriting on an application form.
Students are advised to note that any request for a subsequent alteration to an award (i.e. Certificate, Diploma or Advanced Diploma) or results letter, after it has been printed will incur a charge {see current ‘Fees List’}.
Students should keep their membership card close at hand as the ‘Membership Number’ shown on the card MUST be written on all examination scripts and/or coursework submitted to ACP for marking.
A request for a lost or stolen membership card should be made in writing enclosing the payment shown in ACP’s ‘Fees List’.
Renewing the expired membership of an existing Student Member…
A Student’s membership automatically expires 12 months after they register.
No later than 1 week after the expiry of a Student’s membership, the training centre should complete a ‘Student Membership Renewal’ form on behalf of the Student and collect their ‘Annual Subscription Fee’ as shown in the current ACP Fees List. The ‘Registration Fee’ is only paid when a new Student joins ACP.
Membership must be fully paid up at the time of entry to examinations. If a Student’s membership expires during the examination week, we do not expect him/her to renew their membership to cover the 8-12 week period during which their results are being processed. However, if a Student intends to continue his/her studies beyond the examinations, their membership should not be permitted to lapse.
On receipt of a Student’s ‘Annual Membership Renewal Fee’ the new year’s membership will automatically run from the date on which the previous year’s membership expired.
Student entry to examinations…
Training centres will be responsible for entering Student Members for examination. The deadline for entry to an ACP examination is 6 weeks before the examination is scheduled to take place. Students should, therefore, make arrangements to submit their examination fees well in advance of this deadline. ‘Examination Entry Forms’ and/or fees received after the deadline will incur payment of a ‘Late Entry Fee’.
The process for submitting membership and/or fees to ACP is dependent upon whether the Student is studying in the UK or overseas. Please refer to the appropriate section on this website.
Students should return their completed ‘Application for Membership’ to their training centre’s Examinations Officer. The ‘Registration Fee’ and 1st year’s ‘Annual Membership Subscription’ should accompany the form.
Training centres will advise Students on the preferred method of payment and, once forms and fees have been collected from all applicants, the training centre will submit a single college cheque to cover the total fees due.
Students should note that ACP does NOT accept payment from individuals.
Any entry or fee that is received after the deadline shown on ACP’s ‘Examinations Calendar’ will incur the ‘Late Entry Fee’ that is shown in ACP’s current ‘Fees List’. The ‘Late Entry Fee’ is charged to cover the Association’s increased costs in processing late entries. Therefore, any late entry received without the mandatory fees will automatically be entered for the next available examination session.
A Student may NOT sit an examination unless they have paid all fees due to the Association, including any ‘Late Entry Fee’ arising out of their delayed entry.
An examination entry which is not supported by the full fee due will be treated as a ‘Late Entry’ and the late penalty applied automatically. Payment of Late Entry Fees is non-negotiable and centres who are aware of limited time should use the services of a courier rather than allow the deadline to expire. Examination Entry Fees and Late Entry Fees are non-refundable and non-transferable.
If a Student sits an examination in the knowledge that they have not paid membership, examination and/or late entry fees due, ACP reserves the right not to mark their examination scripts.
Such a Student will be treated as an 'Unauthorised Entrant' and a further penalty fee will apply. This is referred to as an 'Unauthorised Entry Fee' and it will be charged in addition to any other membership, examination and/or late entry fees
If a Student has paid their examination fees at a lower level (e.g. Certificate level) but has entered and not paid fees due for a higher level (e.g. Diploma level), ACP reserves the right to withhold examination results for the lower level.
Students who are ill on the day of the examination…
If a Student is unable to attend an examination through illness/childbirth, a Doctor’s
letter should be provided, stating that he/she was medically unfit to sit the paper. On
receipt of such evidence, the Association will issue the student (via the centre’s
Examinations Officer) with an ‘Examination Credit Slip’ allowing free entry to a future
examination if submitted at the appropriate time with the ‘Examination Entry Form’.
An administrative charge is made for transferring the Student to a subsequent date.
What to do if the Credit Slip is lost…
Students should be aware that the Credit Slip cannot be replaced by ACP and should be
thought of in the same way as money. We do not issue further copies.

Owing to the difficulties often experienced with obtaining foreign exchange, overseas Students are permitted to pay their membership and examination fees at the same time with a single Sterling bank draft.
In this case, Students should obtain a bank draft that covers not only the membership fees due (i.e. Registration Fee and 1st year’s Annual Membership Subscription) but also the ‘Examination Entry Fee’ shown in ACP’s current ‘Fees List’. Students studying overseas should be aware that it can take several months in some countries to obtain their bank draft and they should NOT enter examinations until such time as they can be assured of receiving funds imminently.

Payment of fees by a UK Sponsor or Relative
Payment of fees by a UK Sponsor on behalf of an overseas Student…
Individuals wishing to pay fees in the UK on behalf of someone overseas must:
There is a compulsory 'Examination Sponsor Booking Fee' payable where fees are paid by an individual Student or their Sponsor/Relative. The Sponsor/Relative will also be responsible for payment of the 'Late Entry Fee' shown on the form unless receipt by ACP can be guaranteed before the entry deadline Please note that, once booked, the Student will be liable for the fees due.
ACP does NOT issue receipts and cannot enter into any other communication relating to receipt of payment of fees. Sponsors wishing to obtain confirmation of safe receipt should ensure that they despatch their payment by a method that requires a signature on delivery at the Association’s offices. Receipt of examination fees will be notified to training centres by e-mail only.

If a national public holiday occurs on the day of an examination…
Centres are not permitted to schedule the examination to take place on an alternative date
under any circumstances. ACP publishes an Examinations Calendar at the end of each
year showing the dates and times on which an examination should take place. This must
be strictly adhered to and Students should not sit an examination if it falls on a national
public holiday.
